The problem
Planners book hotels. Teams want bars.
When a company plans an event, hotels show up in RFP platforms with dedicated sales teams behind them. Bars and taprooms, the places teams actually want to go, are invisible in that process.
So corporate bookings come down to luck: a regular who happens to work at a big company, a Google search that happens to find you. Meanwhile your slowest nights, Tuesday through Thursday, sit half empty at the exact hours companies want to book.
Event Captain fixes the top of the funnel. We identify the corporate planners at companies near you, get them familiar with your space, and follow up until the timing is right, so your team gets conversations with people who already know your name.
How it works
We find them. You close them.
We find the planners, run the outreach, and bring past guests back. Your team just closes.
01
We build your list
We identify the corporate planners at companies near your bar or taproom: office managers, executive assistants, and HR people. Then we get your space on their radar.
Every company visible in your dashboard
List keeps growing as we find more planners
Your suppression list applied before a single email
02
We run the outreach
Personalized emails introduce your bar from warmed sending domains. Nothing touches your domain reputation, and nothing lands on your plate.
Sending accounts set up and managed for you
Follow up until they're ready to book
Every reply lands directly with your team
03
We re-engage your past guests
Your warmest leads already booked with you once. We run re-engagement campaigns from your own domain, so repeat events come back without your team lifting a finger.

Tipsy Putt stopped doing outreach themselves
Cold outreach plus follow up with past guests now runs without the team lifting a finger, freeing them up to run the venues.
"We were spending a lot of time using platforms such as Instantly AI or Zoominfo to find and engage cold leads on our own."
Anna Jones, VP of Sales and Catering, Tipsy Putt Brands
Corporate planners book bars of every size for more than drinks.
Holiday parties
High value, booked months ahead. Companies pay premium rates and the same groups come back every year.
Team happy hours
The bread and butter. Teams winding down after work, celebrating wins, or welcoming new hires.
Trivia & game nights
Companies buy out the room for trivia, karaoke, or tournament nights. Big groups, big tabs.
Full buyouts
The biggest checks in the business. A company takes the whole bar on a Tuesday you'd otherwise be half empty.
Brewery tours & tastings
Breweries turn slow afternoons into private tastings and behind-the-scenes tours for corporate groups.
Client entertaining
Sales teams bring clients to connect, not to be impressed. Your bar is the relaxed setting where real conversations happen.
FAQ
Questions bars ask
We don't have a private events room. Will this still work?
Yes. Most corporate bar bookings are not buyouts. Happy hours, holiday parties, and team socials happen in your main room, often on nights you would otherwise be slow. If you do have a private space, we will feature it, but it is not a requirement.
We're a brewery, not a bar. Does this work for taprooms?
Yes. Breweries are a great fit: tours, tastings, and taproom buyouts give corporate groups something they can't get at a restaurant. We shape your list and outreach around the companies near you and the events you want most.
Will outreach hurt our reputation or spam people?
No. Emails go out from our sending domains, never yours, so your domain reputation is untouched. Every campaign targets corporate planners at companies near you, and anyone who opts out never hears from us again.
Does Event Captain replace our events coordinator?
No. We handle the outreach, not the closing. We find interested planners and start the conversation. Your team runs the tour, builds the quote, and closes the booking. Venues tell us it makes their coordinators look good, because the pipeline never runs dry.
How much of my time does this take?
Almost none during setup. We build your list, write the outreach, and warm the sending domains over two weeks. Nothing is required from you. After launch, your only job is the part you would do for any booking: reply to interested planners, run the tour, send the quote.
Can we control what kinds of events come in?
Yes. During setup we talk through the events you want most, the group sizes you handle best, and the nights you want to fill, and we shape your list and outreach around that. If you only want weeknight happy hours for 20 or more, that is what we go after.
We have multiple locations. How does pricing work?
Pricing is per location, so each spot gets its own list and outreach built around the companies near it.
How fast will we see bookings?
Setup takes two weeks: we build your list, warm the sending domains, and write your outreach. Most bars see their first interested replies in the first month of sending, and bookings typically follow within 60 to 90 days as conversations mature.
What does it cost?
One flat rate: $400 per month, per location. No contracts, cancel anytime.
