The problem
You bring the event. Planners still have to know you exist.
A restaurant has a front door. People walk past it, eat there, and remember it when the office needs a team dinner. You don't have a front door. Your business shows up, sets up, wows a crowd, and packs up. When the office manager plans next month's employee appreciation day, she books what she's already heard of.
So you try reaching out yourself. You research the contacts, write the emails, and follow up between events. It's slow, it's hard to tell if it's worth the time, and it's the first thing to slip when your calendar gets busy.
Event Captain takes that work off your plate. We identify the corporate planners at companies in your service area, get them familiar with what you bring, and follow up until the timing is right, so your team gets conversations with people who already know your name.
How it works
We find them. You close them.
We find the planners, run the outreach, and bring past clients back. You focus on the event.
01
We build your list
We identify the corporate planners at companies in your service area: office managers, executive assistants, and HR people. Then we get your business on their radar.
Every company visible in your dashboard
List keeps growing as we find more planners
You own your list of corporate event prospects
02
We run the outreach
Personalized emails introduce your business from warmed sending domains. Nothing touches your domain reputation, and nothing lands on your plate.
Sending accounts set up and managed for you
Follow up until they're ready to book
Every reply lands directly with your team
03
We re-engage your past clients
Your warmest leads already booked you once. We run re-engagement campaigns from your own domain, timed ahead of the time of year they booked before, so repeat events come back without your team lifting a finger.
Win-back, last-event anniversary, and seasonal
Each campaign toggled individually

Shave ice · Oakland
Tropics Shave Ice turned outreach into real bookings within two months
Outreach to companies across the Bay Area turned into real corporate bookings within the first two months, including a company that runs events every quarter.
"Event Captain has done a great job of helping us get discovered by companies all across the Bay Area and their outreach system converted into real bookings in the first 2 months of working together."
SD Pop Up Mini Golf landed several large corporate bookings
Handing outreach to Event Captain freed up the founder's time, and the first few months brought several large corporate bookings, with more prospects likely to book.
"In the first few months, we secured several large corporate bookings and have a few other prospects that will likely book as well. I would recommend Event Captain, as their ability and effectiveness at reaching potential clients far exceeds mine."
Companies bring something in for more than the holiday party.
Employee appreciation days
Big headcounts, one afternoon, and a planner who wants something the whole team will line up for.
Company picnics
Outdoor, all ages, and planned around the season. The kind of day where your setup is the main attraction.
Team building
Something to do, not just somewhere to be. Teams relax, compete, and connect without leaving the office.
Holiday parties
High value and booked months ahead. Planners start asking about December in September.
Office celebrations
Milestones, product launches, and all-hands events that need more than pizza in the break room.
On-site activations
Open houses, customer days, and campus events. Your setup becomes the entertainment.
FAQ
Questions mobile event businesses ask
We don't have a venue. Will this still work?
Yes. We build your list around the companies in your service area and shape the outreach around the events you serve best. Planners book you to come to them, at the office, a park, or a venue they've already picked.
Most of our bookings come from word of mouth. Why add this?
Word of mouth only reaches people who've already seen your setup. We get you in front of corporate planners near you who haven't yet, and follow up until the timing is right. SD Pop Up Mini Golf was booking through referrals and word of mouth before working with us.
Our business is seasonal. Can we focus on our busy months?
Yes. During setup we talk through the dates you want to fill, and we time the outreach around them. Past clients hear from you ahead of the time of year they booked before, so a company that booked you for last summer's picnic hears from you before this year's.
Will outreach hurt our reputation or spam people?
No. Emails to new planners go out from sending accounts set up just for your business, never your own domain, so your domain reputation is untouched. Every campaign targets corporate planners at companies near you, and anyone who opts out never hears from us again.
Does Event Captain replace our sales team?
No. We handle the outreach, not the closing. We find interested planners and start the conversation. Your team quotes the event, confirms the details, and closes the booking.
How much of my time does this take?
Almost none during setup. We build your list, write the outreach, and warm the sending domains over two weeks. After launch, your only job is the part you would do for any booking: reply to interested planners and send the quote.
Can we control how far we travel and what kinds of events come in?
Yes. During setup we talk through your service area, the group sizes and minimums that make a booking worth it for you, and the events you want most, and we shape your list and outreach around that. If you only want weekday corporate events within an hour of home base, that is what we go after.
How fast will we see bookings?
Setup takes two weeks: we build your list, warm the sending domains, and write your outreach. After launch, interested planners reply directly to your team, and bookings follow as conversations mature.
What does it cost?
One flat rate: $400 per month, per location. No contracts, cancel anytime.
I run more than one truck or cart. Do I pay for each one?
No. Event Captain is $400 per month per location, as long as all the leads go to one team and one dashboard. Two trucks in Denver cost the same as one. A second city, or separate franchisees who each need their own leads, would be priced separately.
