The problem

You have no way to find corporate planners.

The office manager planning the holiday party doesn't drive around town touring entertainment venues. She books the place she's heard of, or the place someone recommends. If your venue isn't already in her head, you don't exist.

And you have no way to get in her head. There's no sales team, no channel, no playbook for finding the people who book team outings. So you wait: word of mouth, a birthday-party mom who mentions you at the office, luck. That's the entire strategy, and you know it.

Event Captain finds them for you. We identify the corporate planners at companies near you and get your venue on their radar, so the next time someone plans a team outing, yours is the name they know.

How it works

We find them. You close them.

Event Captain works like a sales assistant for your venue. It introduces nearby companies to your space, then follows up until they're ready to book. Your team just shows up to give the tour.

01

We build your list

We find the office managers, HR teams, and executive assistants at companies near your venue. They're the people who actually book group outings.

02

We introduce your venue

Each company gets a short, personal email about your venue: the activities, the space, and what a group outing looks like. No spam, no bulk blasts.

03

We follow up until they're ready

Most bookings happen in the follow-up, not the first email. We keep the conversation going with friendly check-ins until the timing is right.

04

You give the tour

Interested planners reply to you directly. Your team shows them the space, builds the quote, and closes the booking.

Your dashboard: every company on your list, every reply, every booking.

Axe Kickers grew corporate event revenue 87%

Outreach plus follow-up with past clients turned corporate events into their most profitable booking type, and 30% of past corporate clients rebooked.

"Event Captain doesn't just get us new leads they help us keep the ones we already have coming back again and again. That's where the real long-term growth happens."

Tipsy Putt stopped doing outreach themselves

Cold outreach plus follow up with past guests now runs without the team lifting a finger, freeing them up to run the venues.

"We were spending a lot of time using platforms such as Instantly AI or Zoominfo to find and engage cold leads on our own."

X-Golf Pittsford turned outreach into paying events

An entirely inbound events business got a repeatable way to reach corporate planners, and leads started converting into event customers.

"Immediately we started seeing responses to the 'come check us out' offer, as well as inquiries for events. We've had a significant number of leads turn into event customers."

Nick Ratcliffe, Owner of X-Golf Pittsford

Event types

The corporate bookings your venue wins.

Team building offsites

The core corporate booking. Teams come for the activity and stay for food and drinks. Full-day or half-day, usually midweek.

Holiday parties

High value and booked months ahead. The events planners start asking about in September.

Full buyouts

The biggest checks in the business. A company takes over the whole venue at a time you'd otherwise be half empty.

Tournaments and leagues

Corporate leagues and bracket tournaments turn one booking into a weekly reservation.

Client entertaining

Sales teams bring clients somewhere memorable. Your venue is the outing they talk about on Monday.

Company celebrations

Milestones, product launches, and all-hands events that need more than a conference room.

FAQ

Questions venue owners ask.

We don't have a dedicated private events space. Will this still work?
Yes. Most corporate bookings at entertainment venues are group outings using your regular attractions, often at times you'd otherwise be slow. If you do have private rooms, we feature them, but they're not a requirement.
We're a mobile operator, not a fixed venue. Does this work for us?
Yes. We work with mobile operators too. We build your list around the companies in your service area and shape the outreach around the events you run best.
Will outreach hurt our reputation or spam people?
No. Every message is short, personal, and clearly from a real person. Planners can opt out in one click, and we never message anyone twice after they do. Most venues tell us planners thank them for the introduction.
Does Event Captain replace our events coordinator?
No. We handle the outreach, not the closing. We find interested planners and start the conversation. Your team runs the tour, builds the quote, and closes the booking.
How much of my time does this take?
About an hour a month. You approve the plan, then just reply to the interested planners who come in. We handle everything else.
Can we control what kinds of events come in?
Yes. You set the group sizes, days, and event types you want. Outreach only goes to companies that fit, and we adjust as you learn what books best.
We have multiple locations. How does pricing work?
Each location gets its own list and outreach, priced at $400/month per location. Most groups start with one venue and add locations once they see the results.
How fast will we see bookings?
Setup takes two weeks: we build your list, warm the sending domains, and write your outreach. After launch, interested planners reply directly to your team, and bookings follow as conversations mature.
What does it cost?
A flat $400/month per location. No commissions, no per-booking fees, no long-term contract.
